These Terms and Conditions (“Agreement”) form a binding legal contract between Raftan Tours LLC, a company registered in the United Arab Emirates (“Raftan Tours”, “Company”, “we”, “us”, or “our”), and you, the client, traveler, or customer (“you”, “your”, “passenger”, or “traveler”). These Terms govern all bookings, purchases, and use of services provided by Raftan Tours, either directly or through authorized agents. Please read them carefully before making any booking.

By accessing our services, confirming a booking, or using our platforms, you acknowledge that you have read, understood, and agree to be bound by these Terms.


1. Booking Procedure and Acceptance

1.1 All bookings must be made through our official website, authorized representatives, or in writing via email.
1.2 A booking is only deemed confirmed upon receipt of the applicable deposit and issuance of a written confirmation from Raftan Tours.
1.3 The individual making the booking (“Lead Guest”) warrants that they are authorized to act on behalf of all persons listed in the booking and assumes full responsibility for payment and compliance.
1.4 You must provide complete, accurate, and truthful information at the time of booking. Any misrepresentation may result in cancellation without refund.


2. Payments, Deposits & Pricing

2.1 A non-refundable deposit (typically 25–50%) is required at the time of booking unless specified otherwise.
2.2 Full payment must be made by the deadline indicated on the invoice or at least 14 days prior to departure.
2.3 Failure to pay the balance by the due date may result in automatic cancellation of the booking with applicable cancellation charges.
2.4 Prices are quoted in AED unless stated otherwise and are subject to fluctuations based on currency exchange rates, taxes, surcharges, and supplier pricing.
2.5 We reserve the right to correct pricing errors at any time before final confirmation.


3. Cancellation by You

3.1 Cancellations must be communicated in writing by the Lead Guest and acknowledged by Raftan Tours in writing.
3.2 Cancellation charges will apply as follows to cover our expected loss:

  • 30+ days before departure: 30% of total package cost

  • 15–29 days before departure: 50% of total package cost

  • 7–14 days before departure: 75% of total package cost

  • 0–6 days before departure: 100% of package cost (no refund)

3.3 No refund is provided for unused services or no-shows. Refunds, if applicable, will be processed within 30 business days, minus bank or processing charges.


4. Amendments by You

4.1 Any changes to the booking (travel dates, participant names, room types) must be requested in writing.
4.2 Amendments are subject to availability and approval by suppliers.
4.3 An amendment fee may apply (minimum AED 150 per change) in addition to any applicable fare or rate differences.


5. Changes Made by Us Before Travel

5.1 We reserve the right to make changes to your itinerary due to circumstances beyond our control or operational requirements.
5.2 If a significant change occurs, we will notify you and provide options to:

  • Accept the revised itinerary

  • Select an alternative of equal or greater value at no extra charge

  • Select a lower-value package and receive the difference in refund

  • Cancel the tour and receive a full refund, less amendment fees

5.3 Compensation (excluding force majeure) may be offered based on proximity to departure:

  • 12+ days prior: Refund of deposits only

  • 7–11 days: 100% tour cost

  • 4–6 days: 100% + 1.25% compensation

  • 2–3 days: 100% + 3.5% compensation


6. Force Majeure (Circumstances Beyond Our Control)

6.1 Raftan Tours shall not be held liable for non-performance, delays, or alterations caused by unforeseen events beyond our control. These include, but are not limited to:

  • War, political instability, terrorism, civil unrest

  • Epidemics, pandemics, quarantine restrictions

  • Natural disasters, fires, floods, storms, earthquakes

  • Airline or supplier failures, transport strikes

  • Government-imposed restrictions or closures

6.2 In such cases, we may reschedule, alter, or cancel tours without liability for compensation, though we will make reasonable efforts to offer alternate arrangements.


7. Passports, Visas, and Travel Documents

7.1 It is the sole responsibility of the Client to ensure that valid passports, visas, permits, and other travel documentation are in order prior to departure.
7.2 Raftan Tours will not be held responsible for denial of entry, deportation, or missed services due to incomplete or incorrect travel documents.
7.3 Visa assistance, if offered, does not guarantee approval, and relevant fees are non-refundable.


8. Health, Safety & Medical Conditions

8.1 You are responsible for ensuring that you are physically fit to travel and participate in all aspects of the tour.
8.2 You must inform us of any pre-existing medical conditions, allergies, or special requirements at the time of booking.
8.3 We reserve the right to deny participation if your health condition is deemed unsafe for travel.
8.4 Raftan Tours is not liable for any injuries, illnesses, or medical emergencies that may arise during the tour.


9. Travel Insurance

9.1 We strongly advise all travelers to obtain comprehensive travel insurance, covering medical emergencies, personal accidents, trip cancellations, baggage loss, and other unforeseen events.
9.2 Raftan Tours shall not be responsible for any costs or losses arising due to lack of insurance coverage.


10. Client Conduct and Responsibilities

10.1 Clients are expected to conduct themselves in a respectful, lawful, and safe manner throughout the tour.
10.2 We reserve the right to remove any individual whose conduct is disruptive, offensive, intoxicated, or harmful to others.
10.3 No refunds or compensations will be given in such cases, and the traveler shall bear all costs incurred as a result of their removal.
10.4 You are responsible for any damages to accommodation, transport, or facilities caused by your actions or negligence.


11. Property Damage and Liability

11.1 You shall be liable for the full cost of repair or replacement for any damage, loss, or breakage caused by you or your party to any property, facility, or equipment.
11.2 We reserve the right to recover such costs from you directly or through legal proceedings, including any associated legal fees.


12. Use of Alcohol and Substances

12.1 The consumption of alcohol is permitted where legally and culturally appropriate.
12.2 Raftan Tours disclaims liability for any injuries, loss, or incidents caused due to impaired judgment or behavior resulting from alcohol or substance use.


13. Flights and Transportation

13.1 Raftan Tours acts only as a booking agent for airlines, transportation companies, and other suppliers.
13.2 We are not responsible for flight delays, cancellations, missed connections, or loss of baggage unless directly caused by our negligence.
13.3 It is the traveler’s responsibility to reconfirm flight times and comply with airline policies.


14. Accommodation and Rooming

14.1 Accommodations are provided as per the confirmed itinerary and are subject to availability.
14.2 Hotel standards vary by region and star classifications are indicative.
14.3 Room preferences (e.g., twin beds, non-smoking) are requests only and cannot be guaranteed.
14.4 Check-in and check-out times are determined by the accommodation provider.


15. Activities and Excursions

15.1 Participation in optional activities or excursions is voluntary and at your own risk.
15.2 Raftan Tours shall not be liable for any injury, loss, or damage resulting from activities operated by third-party providers.
15.3 You are responsible for assessing your physical ability to participate in such activities.


16. Complaints and Dispute Resolution

16.1 If you encounter any issue, you must report it immediately to the local representative or service provider.
16.2 If not resolved locally, you must contact our customer service team during the tour.
16.3 No post-tour complaints will be accepted unless the issue was reported during the tour.
16.4 Disputes shall be governed by the laws of the United Arab Emirates and resolved through the courts of Dubai.


17. Online Security and Use of Website

17.1 We implement commercially reasonable security measures to protect your personal data when you use our website.
17.2 However, we do not warrant that the website is free from viruses or cyber threats. Use of our digital platforms is at your own risk.
17.3 All user data is handled in accordance with our Privacy Policy.


18. Intellectual Property and All Rights Reserved

18.1 All website content, logos, itineraries, images, and documents are the intellectual property of Raftan Tours or its content suppliers.
18.2 Unauthorized use, reproduction, or distribution of this content is strictly prohibited.
18.3 All rights, title, and interest in all intellectual property remain vested with Raftan Tours.


19. Privacy and Data Protection

19.1 Raftan Tours collects, processes, and stores personal data in accordance with applicable UAE data protection laws.
19.2 Full details of how we collect and use your data are provided in our Privacy Policy.
19.3 By booking with us, you consent to the use of your information for operational, promotional, and legal purposes.


20. Entire Agreement and Severability

20.1 These Terms represent the entire agreement between you and Raftan Tours and supersede all prior discussions or representations.
20.2 If any provision herein is found invalid or unenforceable, the remainder of the Agreement shall remain in full force and effect.
